Guidlines for Submissions
The Call for Papers primarily asks for submissions for the Free Conference and the Practical Linux Forum. Submissions are accepted only in electronic form: The virtual Conference Center (vCC) at https://www.linuxtag.org/vcc/ is a first resource where you can register the key information about your proposal. You should not submit the full text of your presentation in response to the Call for Papers.
First-time participants create a login (at the login page of vCC its item "Accounts" in the second row of the menu). With this account then log in into the vCC (sub-menu "Login" of vCC's entrance, or choose item "Speaker" from the first row of menu). Participants of a previous LinuxTag can use their existing account. In case of a forgotten password a new one can be obtained (via "Accounts").
Presentations (and proposals) can be in German or English. The abstract accompanying your proposal should be in the same language as the proposed presentation. Neither language is preferred. Each speaker should choose the language in which she can best express herself.
Once the deadline for submissions has passed, the abstracts submitted will be evaluated by the program committee based on content, form, and suitability for the event. The program committee has full authority to reject any proposal. Furthermore, the decision of the program committee is final.
The authors of the accepted proposals will be notified, and are expected to submit a full written version of the presentation (about ten pages) before the deadline for inclusion in the conference catalog. This written version is in addition to any presentation slides, which may also be submitted if desired. If the paper diverges substantially in form or content from the abstract submitted, the program committee reserves the right to reject the presentation at any time. In the event of such rejection, the author is in no way entitled to make a presentation at LinuxTag.
Papers should be sumitted in Open Document (e. g. OpenOffice) format. Authors submitting papers only in other formats, such as HTML, PDF, TeX, DocBook or a proprietary format, will not be eligible for accommodations or a reimbursement of their travel expenses.
The authors of accepted proposals will be provided with detailed instructions and/or style sheets, and will be expected to use them. Papers and author information for the accepted proposals must be submitted using the vCC.
Use Licenses and Review
In order to be considered for acceptance, each proposal submitted must be placed under a license that grants unrestricted, non-exclusive rights of publication in electronic and other forms (including CD-ROM, DVD, web sites, and print media) to LinuxTag e.V. and its associates. Authors may choose from a list of ready-made licenses that fulfill these requirements.
Titles, abstracts and information about the authors (name, biographical sketch, etc.) will be published in the conference program, on the web site as well as in the fair catalog or other documents, as soon as the submissions have been accepted by the program committee. By submitting a proposal you express your consent to such publication.
Submissions that are subject to any restrictions or reservations, such as non-disclosure agreements for example, cannot be considered and will not be evaluated. All other submissions will be evaluated according to various criteria by the program committee.
The submissions and their contents will be treated confidentially until the proposal has been accepted. The evaluations will be kept in strict confidence, and will only be made available to members of the program committee. The committee will endeavor to give each author feedback on the evaluation of his submission, as time permits. Due to the great number of submissions, however, feedback cannot always be guaranteed. The program committee will attempt to explain the results of individual evaluations on request.
Remuneration for Speakers
LinuxTag is organized by LinuxTag e.V., an association of free software enthusiasts, and is produced without commercial aims largely through volunteer work. As a result, the association is limited in its financial means. LinuxTag is not able to pay speakers a fee. With regard to speakers' costs for travel and accommodations, please note the following:
Travel
Normally LinuxTag does not reimburse travel costs. However, the event budget includes limited funds for travel grants for participants who would not be able to attend otherwise. (Many employers are willing to pay travel costs on condition that their company is named in the presentation credits.)
Speakers who wish to apply for a travel grant must do so within one week after their proposed talk is accepted. LinuxTag will not pay cash travel allowances. Usually, a fixed sum is granted which represents part of the participant's actual costs. The aid amount is reimbursed after the event, and only on presentation of invoices (fuel receipts, train or plane tickets). No cash reimbursements can be made at the event itself.
Accommodations
Each speaker who submits a presentation on time in one of the accepted formats will receive accommodations in a hotel in the immediate vicinity of the event. Each speaker, regardless of the number of presentations given, will be accommodated at the Association's expense for at most two nights. Several speakers submitting a joint presentation can be accommodated in a double room for a maximum of two nights. Speakers who wish to stay longer at their own expense can take advantage of special rates. Accommodations cannot be exchanged for other forms of remuneration, since the rooms reserved for speakers are part of a special fixed contingent.
Social Event
All the speakers are cordially invited to be our guests at the evening social event held during LinuxTag. Additional admission tickets can be purchased for accompanying guests.
